Position Summary
Greenberry is seeking a highly organized and detail-oriented Administrative Clerk to support daily office operations, employee onboarding activities, payroll timekeeping, and reception functions at our Sulphur location. This role serves as an extension of the Human Resources team and is critical in supporting project staffing efforts, employee documentation, and maintaining an efficient office environment.
The ideal candidate thrives in a fast-paced construction environment, demonstrates strong customer service skills, and can effectively manage multiple priorities while handling sensitive and confidential information with professionalism and discretion.

Essential Duties & Responsibilities:

Reception & Office Administration
•    Serve as the first point of contact for visitors, applicants, employees, and vendors.
•    Answer and direct incoming phone calls in a professional and courteous manner.
•    Welcome and assist walk-in applicants and visitors.
•    Manage general office correspondence, filing, copying, scanning, and recordkeeping.
•    Maintain office supplies and support daily administrative operations.

Employee Onboarding Support
•    Coordinate pre-employment requirements including: 
o    Urinalysis (UA)
o    Background checks
o    Employment authorization verification and onboarding documentation
•    Communicate regularly with the Corporate Human Resources team regarding onboarding status and employee records.
•    Enter and maintain employee information in company systems and onboarding portals.
•    Coordinate and schedule jobsite orientations for new hires.
•    Ensure onboarding paperwork is completed accurately and in compliance with company requirements.
•    Assist employees with onboarding questions and basic HR-related inquiries.

Timekeeping & Payroll Support
•    Manage weekly timekeeping for approximately 20–25 employees.
•    Transfer daily sign-in/sign-out records into Excel and company payroll systems.
•    Verify hours worked and identify discrepancies.
•    Review time records for completeness and accuracy prior to payroll processing.
•    Coordinate with supervisors and employees to resolve missing or incorrect time entries.
•    Provide payroll verification support to management and corporate payroll personnel.

Staffing & Project Support
•    Support high-volume hiring and onboarding efforts during project mobilizations.
•    Assist with employee tracking, reporting, and workforce documentation.
•    Maintain organized personnel records and onboarding files.
•    Support special projects and additional administrative responsibilities as assigned.

Required Qualifications
•    High school diploma or equivalent required.
•    Computer literacy required (Microsoft Office, Excel, Outlook, etc)
•    2+ years of administrative, office support, payroll, HR support, or reception experience preferred.
•    Strong proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
•    Excellent organizational, communication, and customer service skills.
•    Ability to prioritize tasks and manage multiple deadlines simultaneously.
•    Strong attention to detail and accuracy.
•    Ability to work independently while supporting multiple departments.
•    Experience in construction, fabrication, industrial, or project-based environments preferred.

This position functions as an extension of the Human Resources team and will have access to confidential employee and company information. The Administrative Clerk must maintain the highest level of discretion, professionalism, and confidentiality at all times and handle sensitive information in accordance with company policies and applicable laws.

Physical Requirements
•    Ability to sit, stand, and walk for extended periods.
•    Ability to occasionally lift up to 25 pounds.
•    Ability to use office equipment including computers, printers, scanners, and telephones.
